Job Description: Kids’ Club Coordinator



Statement of Purpose:  Kids’ Club exists to support OLMC school families by providing quality after-school childcare for children in grades K through 8 in a safe, fun, engaging environment.

 

Description of Duties:  Under close supervision of School Administration, the Kids’ Club Coordinator will:

 

  • Oversee all facets of Kids’ Club operations regarding staff/volunteers, children, parents, facilities, snacks, toys/supplies, etc.
  • Create and maintain a pleasant, welcoming, safe, and appropriate environment for children and their parents as an extension of OLMC School
  • Maintain close supervision of all students in attendance from the time they are checked in to the time they are signed out each day (anywhere from 45-95 children, averaging +75 per day)
  • Ensure that all children are signed out only by approved adults according to information/alerts in RenWeb database
  • Make sure children are getting their homework done before they play games or go outside; assist with homework as needed
  • Establish and maintain appropriate rules of conduct during Kids’ Club (i.e., no running inside the hall, no balls, stay off stage, no yelling or disruptive behavior, etc.); handle discipline as needed
  • Provide first-aid care as needed
  • Procure (through purchase or donation) and maintain an inventory of age-appropriate toys and materials for children in grades K through 8, focusing on games that promote creativity, problem solving, and positive interaction with others
  • Purchase, stock, and serve a variety of healthy, tasty snacks each day to all children in attendance at 3:30pm each day (typically +60 kids), working around food allergies as needed; clean up kitchen after using
  • Purchase, stock, and maintain necessary supplies such as cleaning products, snack-related paper products, hand sanitizer, tissues, school supplies, photocopies coloring sheets, etc.
  • Provide timely, open, effective, professional communication to Kids’ Club parents, teachers, and staff as needed (on a monthly basis, at a minimum) regarding all aspects of Kids’ Club; respond to email communication from parents, teachers, and staff in a timely and professional manner
  • Via cell phone, be available to Kids’ Club parents anytime and facilitate parent/child communication as needed
  • Maintain binder of sign-out logs for all children each day; maintain additional binder of past months’/years’ sign-out sheets as required
  • Create, update, and distribute to school administration a “snapshot” of Kids’ Club operations each week, including student attendance, snacks served, employees/volunteers present, etc.
  • Maintain Kids’ Club binder containing student scanning sheets, employee time sheets and forms, Kids’ Club Weekly Snapshots, volunteer service log, incident log, etc.
  • Create and maintain a pleasant, welcoming, safe, and appropriate work environment for all Kids’ Club staff and volunteers, being attentive and responsive to their needs and feedback and making sure they have everything they need to perform their jobs well
  • Create and maintain a schedule of adequate staffing coverage for each day in compliance with Diocesan Safe Environment requirements, making sure there is appropriate supervision of children both inside and outside
  • Create and maintain a Staff Contact List to facilitate communication among staff members
  • Serve as liaison to facilitate communication between parish/school administration and Kids’ Club staff
  • Interview and hire new staff members as needed and approved by Parish Administration
  • In an effort to keep expenses as low as possible, recruit volunteers to assist with daily operations as needed (high school students, etc.)
  • Mentor all staff members and volunteers in a positive, fair, and encouraging manner
  • Ensure that all staff are qualified and meet all position requirements, providing continuing education and training as needed and appropriate
  • Monitor staff performance and ensure that all policies and procedures are being followed; hold accountable and discipline, when necessary, any staff member who does not perform the duties/requirements of his/her position
  • Maintain volunteer log for stewardship family and/or service hour credit
  • Respond to requests for verification of volunteer service hours; write letters of recommendation for volunteers/staff as requested
  • Collect, verify, sign, and submit all Kids’ Club staff time sheets in accordance with stated deadlines
  • Set up tables and chairs at 2:45pm each day; clean and put away all tables and chairs by 6:00pm each day, making sure all leftover student items are turned in to the office or Lost & Found and that the hall is swept, clean, and ready for the next group by 6:00pm
  • Work with parish, maintenance, school, and ministry personnel to coordinate availability of McCready Hall as needed; be flexible and adaptive to needs of other groups needing the hall and/or kitchen
  • Perform additional related duties as required

Job Description: Childcare Coordinator



Position Summary:  The Childcare Ministry Coordinator is responsible for program planning and implementation of childcare and related services in a Catholic Christian environment, program to parent liaison, supervision of Childcare Aides and record keeping.

 

Description of Duties:  Under close supervision of Parish Administration, the Childcare Coordinator will

 

  • Oversee all facets of the Childcare Ministry, including scheduling, staff, room, supplies, etc.
  • Create and maintain a pleasant and appropriate environment for families utilizing childcare, including stocking and maintaining (1) age-appropriate toys and materials for both infants and children, (2) snacks, and (3) necessities (diapers, wipes, cleaning materials, etc.)
  • Create and maintain a pleasant and appropriate work environment for all Childcare Ministry staff, being attentive and responsive to their needs and feedback and making sure they have everything they need to perform their jobs well
  • Work with parish scheduling personnel to determine childcare needs/ratios according to numbers and ages of children expected for each meeting and event in which childcare is to be provided
  • Coordinate the accessibility of childcare room as needed with parish, maintenance, and Childcare Ministry staff; determine who should have keys to the building and inform Childcare Ministry staff of entry/alarm procedures
  • Create and maintain a schedule of adequate staffing coverage each month in compliance with Diocesan Safe Environment requirements, adjusting it as needed
  • Create and maintain a Staff Contact List to facilitate communication among staff members
  • Create and maintain a set of appropriate policies and procedures, to be approved by Parish Administration; serve as liaison to facilitate communication between Parish Administration and Childcare Ministry Staff
  • Create and maintain Childcare Ministry notebook with sign-in/out sheets for families and all necessary forms and communication for staff members
  • Maintain all Childcare Ministry paperwork, including past sign-in/out sheets, etc.
  • Establish and maintain effective and professional communication at all times with (1) parish staff and ministry directors, (2) Childcare Ministry staff, and (3) point-of-contact representatives from all groups and ministries requiring childcare

Qualifications:

  • Must have a desire to serve the needs of OLMC students, families, and school/parish community
  • Must be at least 21 years of age and have previous childcare experience in a supervisory role
  • Must be organized, responsible, dependable, and committed to providing excellent service
  • Must be an effective and professional communicator, both verbally and in writing
  • Must be Safe Environment certified through the Roman Catholic Diocese of Phoenix
  • Must be First Aid and CPR certified and keep those certifications current throughout employment
