POSITION TITLE:  Assistant Athletic Director

GENERAL DESCRIPTION:

 

The Assistant Athletic Director, under the supervision of the Principal and Athletic Director, is responsible for aiding in the day to day operations of the Athletics department, including the management of all lower level sports teams, and student academic eligibility. This person will be responsible for other administrative school duties as assigned. The Assistant AD will foster the mission and vision of the school, working to utilize Athletics as a key element to educate and develop the students of Seton Catholic Prep.  The Assistant AD will participate in efforts to promote the school and its athletics teams in the general community. The Assistant AD will also perform other job related duties as assigned, and will abide by all standard polices of the Diocese of Phoenix.

 

Duties of the job

 

  1. Assist the Athletic Director in the year round operations of the Athletics Department. This includes, but is not limited to the organization and administrative management of on-campus athletic events as well as logistical tasks for off-campus events, assisting in annual development of coach, parent, and athlete handbooks, assisting in preparation of the annual budget for the athletic department, assisting Athletic Director on equipment and uniform purchases as needed, and assisting in scheduling and management of summer sports camps.
  2. Manage the athletic department equipment rooms. This includes yearly inventory of all athletic uniforms and equipment, communicating with athletic director on needed replacements and repairs, maintaining a data base of uniform rotation for all sports teams, soliciting purchasing needs from coaches to identify future needs, maintaining clean and safe environments in both equipment rooms.
  3. Communicate daily with other school personnel and departments regarding athletic department needs, events, scheduling, etc. This includes, but is not limited to: communicating with maintenance and grounds crew regarding athletic department needs, coordinating the receiving and hosting visiting teams for on-campus events, communicating with athletics administrative assistant for daily athletic department needs and tasks.
  4. Coordinate and submit applications for student, coach, and school recognition opportunities. This includes, but is not limited to: post season student and team athletic honors, awards, athletic department grants, department and school level awards. This will also require the ability to research and locate additional recognition opportunities not yet utilized.
  5. Assist Athletic Director in developing and maintaining positive community relations. This includes, but is not limited to: contributing to school website and school social media, outreach opportunities to K-8 schools and local communities, working with Seton community to develop opportunities for parent involvement.
  6. Work with the Athletic Director, Advancement department and Admission department to strategize marketing efforts to promote Seton athletics in the middle schools & feeder programs
  7. Be a role model and encourage others of to support the 4 charisms of the school
  8. Assist the Athletic Director in making sure the Style Guide and branding guidelines are followed by the Athletics department.
  9. Implement ideas to market Seton Athletics through all appropriate and approved forms of social media, e.g. Facebook, Twitter, etc.
  10. Have working knowledge and operate the scoreboards in the gym and all fields. This includes preparing written procedures used to train other staff and volunteers.
  11. Demonstrate expertise in running all aspects of game operations, e.g., field set-up; shade structures, hurdles, javelin throwing area, etc.
  12. Support and enforce locker room safety procedures
  13. Supervises and works with Facilities Management team and AD in keeping facilities clean / operational / and prepared for practices and game settings
  14. Establish working relationships w/ other staff members to encourage involvement and support of athletics, e.g., supervise red zone, ineligibility checklist, attendance at games, etc. 
  15. Follow-up with coaches and their assistants to ensure their team photo sessions have been held and rosters have been provided to the yearbook staff. 
  16. Review and be knowledgeable of all aspects of AIA Policies to ensure compliance of the requirements. Address and discuss new policies as set forth by the AIA with the AD. 
  17. Work with the Athletic Director in building a rapport & relationship with the Booster Club and attend monthly meetings. 
  18. Reviews and validates the Safe Environment training is completed by all coaches. Inspects team practices to ensure coaches who have not completed the training are not on campus until it is complete.
  19. Assist with team registrations to validate all required paperwork is complete.
  20. Work with coaches to plan, schedule and promote summer camps.
  21. Perform any other job-related tasks deemed necessary and/or assigned by the Principal and/or the Athletic Director.

 

Required education, knowledge, skills, and abilities to perform essential job functions

               

  1. Must have a Bachelor’s Degree with 3 years of coaching experience
  2. Must be able to work evenings and weekends when needed
  3. Strong computer literacy skills
  4. Supports philosophy, mission & policies/procedures of the school
  5. Supports and encourages multi-sport athletic participation
  6. Must be certified by the Arizona State Department of Education as a teacher
  7. Must have knowledge of bylaws and policies/procedures set by the Arizona Interscholastic Association and follow all regulations set therein
  8. Must be able to complete moderately difficult physical tasks
  9. Demonstrates problem solving skills; use good judgment in handling different personalities and emerging situations
  10. Must have ability to observe and actively listen in assessing individual student and program needs
  11. Must have proficiency in good communication skills with both students and adults
  12. Must have ability to work cooperatively with others as well as ability to delegate
  13. Must have knowledge and understanding of adolescent development and psychology
