Position Title: Front Office Assistant/Clerical Support/School support

PURPOSE AND SCOPE:
As the first point of contact for SVdP we ask; Office Assistant will receive visitors at the front desk by greeting and welcoming all visitors in a friendly and professional manner.
In order to help the Office Manager have more time for projects, we have concluded we need a clerical assistant to take care of many office chores like answering phones, making copies, interacting with parents, collecting payments, and any other duties that will make the front school office run efficiently. When necessary, Assistant may be assigned to help in a classroom for a day. This new position requires an experienced bilingual individual that is willing to fulfill the Vincentian mission in both capacities. Under the supervision of the Office Administrator first and then the administrative team, the Clerical Assistant/ Teacher Aide Assistant is a person of faith who strives to achieve the goals of Catholic education, which are:
- Embraces and models the Catholic philosophy of education
- Promotes and lives the Gospel values and Catholic moral teaching
- Upholds the doctrinal teachings of the Catholic Church
- Provides clerical support in the school office environment. This will require interaction with parents, students and visitors either by phone, email or in person. Provides assistance in a classroom setting by following teacher directions when necessary.
ESSENTIAL JOB FUNCTIONS:
Specific duties include, but are not limited to the following:
- May be called upon by the administrative team to assist with other school duties or in a classroom when a special need or emergency arises
- Cooperates with all staff members for the smooth running of the academic environment
As clerical support, assume responsibility for customer service in the school office when necessary
- Answer phones in a patient, professional and kind way
- Support Office Manager and FACTS specialist when needed
- Complete clerical and filing tasks as needed
- Translate in English/Spanish when necessary
- Maintain confidentiality at all times regarding files and data information copied or worked on
- Maintain a professional demeanor at all times. You are representing the school.
- Coordinate Field Trips
- Keep Cum Files up to date
- Assist the Health Office when needed (Attendance, health care to students etc)
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
- Must demonstrate personal self-discipline, be adaptable and flexible in routine and unexpected situations
- Must use good judgment in daily encounters with students, staff and parents
- Must maintain good grooming and dress in a modest and professional manner at all times
- Must arrive on time for work each day and conform to the HR practices of clocking in/out each morning, before / after lunch, and at the end of the work day
- Must inform the administrative team and/or the classroom teacher if sick or absent and unable to observe that day.
